✉️How to Address Mail in Zambia

Unlike many Western countries where mail is delivered directly to a street door, the primary mail delivery system in Zambia relies on P.O. Boxes (Post Office Boxes). If you do not include a P.O. Box and the correct Postal Code, your mail may be delayed or returned.

💡 Physical Addresses: If the recipient does not have a P.O. Box, ZAMPOST can deliver to a physical address in major cities, but this must be clearly marked as “By Hand” or “Door-to-Door Delivery” and usually requires the payment of an additional courier/EMS fee. Always call the local post office to confirm if they service that specific street.

🚫Prohibited & Restricted Items

ZAMPOST adheres to Universal Postal Union (UPU) regulations and Zambian customs laws. You cannot send the following items through the mail:

Firearms, Ammunition, and Explosives (without special police permits).
Illegal Drugs and Narcotics.
Obscene or Pornographic Material.
Live Animals (with very specific exceptions like leeches or bees under strict packaging rules).
Perishable Foods that require refrigeration (unless sent via specialized cold-chain courier).
Counterfeit Goods or items that infringe on intellectual property rights.

Customs Declarations: If you are sending a parcel internationally, you must attach a CN22 or CN23 Customs Declaration Form to the outside of the box. This form requires you to list every item inside, its weight, and its value in USD. Failure to declare items accurately can result in the parcel being seized by foreign customs or the Zambia Revenue Authority (ZRA).

If you use Registered Mail or EMS Speedpost, you will be given a receipt with a 13-character tracking number (e.g., RR123456789ZM or EE987654321ZM).

How long does domestic mail take within Zambia?

Ordinary letters between major towns (e.g., Lusaka to Kitwe) typically take 3 to 5 working days. Mail to rural districts or remote areas can take up to 7 to 10 days depending on the transport schedule to that specific post office.

Can I send money through ZAMPOST?

Yes. ZAMPOST offers Money Transfer Services, allowing you to send cash domestically to any post office in Zambia for the recipient to collect. They also partner with international remittance networks for cross-border money transfers.

What happens if my parcel is too heavy?

Standard parcel post generally accepts items up to 20kg or 30kg depending on the destination. If your item exceeds this weight or is exceptionally large (like furniture), you will need to use a private freight or logistics company (e.g., Juldan, Power Tools, or dedicated bus courier services) rather than the standard postal network.

Do I need to pay customs duty on incoming parcels?

Yes. If you are receiving a parcel from outside the SADC region, the Zambia Revenue Authority (ZRA) may assess it for import duty and VAT. ZAMPOST will hold the parcel at your local delivery office and send you a “Notice of Arrival” card. You must go to the post office, pay the assessed customs fees, and then collect your parcel.

Are ZAMPOST rates cheaper than private couriers?

Generally, yes. ZAMPOST is the most cost-effective way to send standard letters and lightweight parcels, especially to rural areas where private couriers like DHL or FedEx may not have physical offices. However, for urgent, time-guaranteed deliveries, private couriers are faster but significantly more expensive.
